Short answer

AENOR, a global certification body with 800 auditors in 12 countries, used ScheduleAI to schedule 49,000 audit-hours (2,124 audits) in 12 minutes, work that previously took a month, while cutting travel by 21% (147,523 km).

Key takeaways

  1. Planning that took a month now takes 12 minutes, on the organisation's own production data.
  2. 2,124 audits were placed in one run, all of them allocated by the engine.
  3. Travel fell by 21%, saving 147,523 km, because nearby visits were grouped into trips.
  4. Planners kept every decision: the engine proposes, people approve.

The challenge

Every year this certification body plans tens of thousands of audit-hours across 800 auditors and 12 countries. Each allocation has to respect competency codes, the accreditation body for each standard, rotation rules, conflicts of interest, languages and the client's window.

Done by hand, that plan took a team of planners roughly a month, and every client change started a new round of spreadsheet surgery.

From a month to twelve minutes

The engine checked 35+ rules for every allocation and produced a complete, rule-compliant plan in twelve minutes. Planners then reviewed the exceptions instead of building everything from scratch.

What changed on the road

Because the engine sees every audit in the region at once, it groups visits that sit close together and assigns them to the same auditor on consecutive days.

In their words

I'm speechless. What you can do in twelve minutes normally takes us a month.

What this means for your body

01

Planning time

If monthly planning takes days, the allocation step can usually be cut to minutes.

02

Internal capacity

Using qualified internal auditors first reduces subcontracted days.

03

Travel

Clustering nearby audits cuts kilometres, hotel nights and emissions.

04

Compliance

Checking every allocation against the rules removes a common assessment finding.

Check these results on your own data

  • ✓Share an extract of auditors, competences and one or two months of audits.
  • ✓Agree success criteria: planning time, share allocated automatically, utilisation, subcontracted days and travel.
  • ✓Compare the engine's plan with your real plan, audit by audit.
  • ✓Decide on a pilot only if the numbers hold.

For certification bodies, audit scheduling software that checks competence, rotation and windows on every audit takes most of this work off the planning team.

Questions

Was this tested on real data?

Yes. The results come from the organisation's own production data, not a sample or simulation.

Did planners lose control?

No. Every proposal can be confirmed, adjusted or rejected, and each decision is recorded.
