Set aside
✓Team ready for approval · 2 set aside with the reason
Assessment programmes span years, and every team must be technically competent and independent of the body it assesses.
ScheduleAI builds the programme for your cycle, matches assessors on technical competence, checks conflicts and rotation, and names an alternate for every role.
Every programme is checked against your cycle rules, such as on-site assessment at least every two years within a cycle of up to five, and every override is recorded with a reason.
The whole accreditation cycle. One plan you can publish.
Rotation rules swap people before familiarity becomes a risk; witnessing is planned across the cycle so every scope you accredit is covered.
The clauses your programme must meet, held as rules.
Clause by clause, how the assessment programme is planned. Your own procedures, and regional rules from EA, IAF or ILAC, can set tighter limits; the stricter limit you configure is the one applied.
| ISO/IEC 17011:2017 | What it requires | How ScheduleAI plans it |
|---|---|---|
| 7.9.1 | An accreditation cycle of no more than five years | Initial assessment, surveillance and reassessment planned across the cycle length you set |
| 7.9.2 | Activities representative of the scope assessed, at the relevant locations, within the cycle | Witnessing and on-site activities planned per scope and site; gaps shown before the reassessment |
| 7.9.3 | First surveillance on site within 12 months of initial accreditation; on-site assessments no more than two years apart | Both limits held as hard due dates per body; assessments at risk sent to a planner early |
| 7.5 | Assessment team appointed with the competence needed; the body is told the names in time to object | Team proposed with a pre-checked alternate for every role; an objection swaps in the alternate and is recorded |
| 6.1 | Personnel competent for the activities they perform | Lead assessors, technical assessors and experts matched to each scope's technical competence |
| 4.4 | Impartiality safeguarded and conflicts of interest managed | Declared conflicts and rotation checked before anyone is proposed; overrides need a named decision maker |
Hard rules first. Then fairness.
Must pass
- ✓Technical competence for every activity in scope
- ✓Role authorised for the standard
- ✓No declared conflict of interest
- ✓Rotation limit not reached
- ✓Trainee assessors paired with a qualified assessor
- ✓Assessor fee bands and employer release limits respected
Then ranked by
- 1Staff assessors before external assessors
- 2Under-used assessors offered first
- 3Fewer long-distance trips
No assessor is asked too often.
An illustration: limits on how often an assessor is asked are applied automatically, so requests move to the next qualified assessor instead of the same few names.
Requests per assessor this cycle. The line marks the limit you set.
Use the whole pool. Fairly.
Accreditation bodies rely on large pools of technical assessors, many released by their employers for a day at a time. ScheduleAI spreads the work.
Under-used assessors first
Equally qualified assessors who are rarely asked move up the list
Caps respected
Limits on how often an assessor is asked are applied automatically
Alternates by default
Every role gets a named, pre-checked alternate
Every plan approved. Every change traceable.
Programmes and effort matrices move through your approval states. When something changes, the plan reopens for review instead of silently drifting.
Every decision, with the rule behind it.

Questions assessment managers ask
Can ScheduleAI plan four- and five-year programmes?
Yes. Initial assessment, surveillance and reassessment are planned for the cycle your procedures set (ISO/IEC 17011 allows up to five years), with witnessing planned across it.
How is witnessing planned?
Witnessing is scheduled as work in the programme, so every scope you accredit is witnessed across the cycle and any gap shows before the reassessment.
How are conflicts of interest handled?
Declared conflicts exclude an assessor at customer or programme level; any override needs a named decision maker and a reason.
Does every role get an alternate?
Yes. Alternates are proposed and checked against the same rules, and “no appropriate alternate” escalates for a decision.
Can technical experts be used?
Yes. Technical experts always work alongside a qualified assessor, and trainee assessors are paired with a qualified assessor who oversees their work.
Does it work across several accreditation standards?
Yes. Competence and roles are held per standard, so programmes under ISO/IEC 17025, 15189, 17020, 17021 and 17065 can be planned together.
Can it follow our own cycle, such as four years with annual surveillance?
Yes. Cycle length, surveillance frequency and witnessing targets are your parameters. Several accreditation bodies run a four-year cycle with annual surveillance; ISO/IEC 17011 allows up to five years.
Will the plan stand up in a peer evaluation?
Every programme, assignment and override is recorded with the rule that allowed it and who approved it. Records export for your own files and for IAF, ILAC or regional peer evaluators.
Does it help with the ISO/IEC 17020:2026 transition?
Yes. Transition assessments can be added to planned surveillance and reassessment visits and resourced like any other activity, so every inspection body is covered before the transition ends in March 2029.
How long does implementation take?
A free two-week custom demo on your data, a four-week scoping and integration phase, then an eight-week pilot with one accreditation unit live. Further units and standards follow on the same rules.
What does ScheduleAI cost?
The custom demo is free. Scoping and integration is a fixed fee agreed in writing. The annual licence is priced per scheduled day (one calendar day per assessor with a confirmed assessment), with lower rates as your volume grows, plus an annual platform fee.
Is our data secure?
ScheduleAI is ISO/IEC 27001 certified, GDPR compliant and hosted in AWS Ireland (EU). Your data is never used to train models.
Watch: an independent team, with alternates
Competent, independent, pre-checked, with the set-aside reasons written down and an alternate for every role.
